How to review, approve, and upload preceptor documents

Within the preceptor portal, preceptors can upload numerous types of documents, including student rotation documents. To review and approve submitted documents without having to view preceptor profiles individually follow these instructions.

eMedley > Administration > ekeeper > Preceptor Documents

  • When a document is uploaded it will be in pending status whether it is uploaded by the preceptor or HCOM staff. Only approved student documents are shown on the “Student Clinical Sites and Preceptors” report.
    • To view a document, click on the document icon.
    • To approve a document, highlight the appropriate row and select “Approve”.
    • To deny a document, highlight the appropriate row and select “Deny”.

  • Use the search bar to search by preceptor name, type, or status.
  • Use the filter to filter by preceptor, type, or student.

You can also upload, review, and approve documents through the preceptor’s profile.

Administration > Preceptor > select appropriate preceptor > Documents

For previously submitted documents

  • select document > approve or deny

To upload a new document

  • Select Add
  • Complete new document entry as necessary.
    • Type: Student Document
    • *Expiration date field is not required for student document type
    • Browse Files > upload document
  • Add

  • Once the document has been added it shows as pending approval.
    • Select document > Approve

There are two options remove a document from the Student Clinical Sites and Preceptors report.

Deny the document

  • Select document > Deny

Update the expiration

  • Click on document > update expiration date > Save
