Verifying Your Identity with Live Video ID Verification: Employees

Summary

This article details the steps employees of Ohio University will need to take to verify their identity through the live video ID verification process.

Body

Description

If you need to reactivate your account, reset your password, or perform other account changes, you will be asked to verify your identity through a live video call if you cannot perform one of the self-service options to complete the change yourself.

To complete a Live Video ID Verification, we request that you have valid photo identification (ID) available before beginning your live video ID verification call through Microsoft Teams. Examples of ID, conditions, and how to join a call are in the following sections.

During the call, the agent will ensure that the ID shown meets the following criteria:

  • Confirm the proof of identification is valid and the claimed identity exists.
  • Confirm the claimed identity belongs to the user on the call.

Note: All IDs presented must be current and not expired. An expired ID will not be considered valid. Both sides will need to be shown and verified.

    1. Group A: Valid OHIO ID
    2. Group B: A government issued photo ID from either List A or List B on the I-9 Acceptable Documents list.
  3. Step 3: Stable Internet Connection, Webcam, and Lighting (Must have all three)
    1. Stable internet connection
    2. Functioning webcam or mobile device with forward facing camera
    3. Good lighting (enough for the call agent to easily view your ID and face)
  4. Step 4: Join the Microsoft Teams Video Call Meeting

Step 1: Receive a Microsoft Bookings Request

Call the service desk at 740-593-1222 to speak with an agent.  A Microsoft Bookings request for a Microsoft Teams video call meeting will be sent via the ticket.  Please choose the best time between Monday-Friday 8 a.m.-5 p.m. EST.  A Microsoft Teams video call meeting link via Microsoft Bookings will be sent to your OHIO email and alternative email.

Step 2: Valid Photo ID

Note: All identifying documents presented must be current and not expired. An expired ID will not be considered valid.

The agent will ask you show one or more valid photo IDs. All IDs must be current, not expired, and be clearly visible to the agent. Both sides of the ID will need to be shown and verified.

Choose from either Group A or Group B for acceptable forms of IDs to verify your identity.

Group A:

A valid OHIO ID (obtained from the Bobcat Depot or other campus ID office).

Group B:

Choose one of the following forms of ID from the I-9 list of acceptable documents:

  • Passport (US or foreign)
  • Permanent Resident Card or Alien Registration Receipt Card (Form I-551)
  • Employment Authorization Document that contains a photograph (Form I-766)
  • Driver's license or ID card issued by a US state or territory of the United States provided it contains a photograph
  • ID card issued by US federal, state or local government agencies or entities, provided it contains a photograph
  • U.S. Military card that contains a photograph
  • Driver's license issued by a Canadian government authority that contains a photograph

Example 1: If you have a valid OHIO ID, you do not need to select identifying documents from Group B.

Example 2: If you do not have a valid OHIO ID, you will need to select a single identifying document from Group B.

Step 3: Stable Internet, Webcam, and Lighting

Please confirm that you have all the following:

  • A stable internet connection
  • A webcam enabled device
  • Good lighting so that the agent can clearly see your face and information on your identifying documents.

Stable Internet Connection

Ensure your connection to the internet is stable. The agent will need to clearly see your face. The video feed cannot be pixelated, blurry, or granulated due to low connection quality.

Webcam Enabled Device

The device you are joining from must have a webcam or forward-facing camera so that the agent can see your face and compare it to your identifying document(s). During the process the agent may ask you to bring your ID closer to the camera so they can inspect it. IDs that are not legible to the agent will not be considered valid.

Good Lighting

Since the agent verifying your identity will need to compare your ID(s) to your face, you will need to be in a well-lit environment. Please ensure even lighting before joining the live ID verification call and make sure there are no shadows covering your face or ID.

Step 4: Join the Microsoft Teams Video Call Meeting

Join the Microsoft Teams meeting with the ticket number available and Steps 2 & 3 prepared.
