Distribution Lists 

Overview  

Microsoft distribution lists allow users to create and manage groups of email recipients for communication within an organization. A distribution list could be used to efficiently communicate important announcements and updates to all students enrolled in a particular course, ensuring everyone receives the same information simultaneously. Additionally, faculty members can use distribution lists to collaborate on research projects by sharing resources and coordinating meetings with ease.

Pros 

  • Send email to multiple recipients without entering individual email addresses 
  • Manage recipients by adding/removing from the distribution list instead of maintaining list of recipients elsewhere 
  • Email is sent to the distribution list address and doesn’t display individual email addresses to the recipients 
  • Can be used for 2-way communication
  • Can have group moderators to approve or reject messages

Cons 

  • Not suitable for sending email to external recipients 
  • Must be managed and updated over time to ensure correct recipients 
  • Users cannot add or remove themselves from the list
