Connecting Salesforce to Outlook

Add Salesforce add-in to your Outlook

  • From Outlook, go to 'File' in the top left hand corner and select 'Manage Add-ins'

  • This will open Outlook in Webmail and then a dialogue box for Add-Ins. In the search bar, enter 'Salesforce' and select the one with a blue cloud with white background:

  • Select 'Add'

  • Go back to your Outlook, may need to close and reopen it, in the top right hand corner, you should now see a Salesforce option at the end of the Home ribbon navigation area.

If you are on the newer version of Outlook, you may need to toggle back to Outlook Classic to connect and use the Salesforce plug in. 

Prevent Salesforce emails from going to Junk Mail

The Salesforce system may send notifications for various processes, as a new student, staff or faculty member, please be sure to mark Salesforce emails as safe with the following instructions.

  • Go to the top ribbon within your outlook and locate ‘Junk’
  • Drop down the arrow to the right of it and select ‘Junk E-mail Options...

  • Go to the ‘Safe Senders’ tab
  • Click ‘Add’ on the right hand side
  • Enter the email address noreply@salesforce.com
  • Click ‘OK
  • Click ‘Apply’ in the bottom right hand corner
  • Click ‘OK’ in the bottom right hand corner to complete the process

Logging an email from Outlook to a Salesforce record

The first time you go to log an email, I highly recommend toggling off 'Log Emails Faster'. This will give you more information and options as you are logging emails but you are also more than welcome to use it. I also highly recommend selecting the little pin icon in the top right hand corner to freeze the Salesforce pane in your Outlook Uploaded Image (Thumbnail)

Log Emails faster:

  • Select the email you want to log to Salesforce
  • If the Salesforce pane isn't pinned, then select the 'View Salesforce' from your home ribbon in the top right hand corner
  • Drop down the little purple icon where it says 'Search Contact's and change that to whatever data object you want to tag your email to. For example: 'QI Sites'

  • You will then notice when you go to the search, it will now search 'QI Site' records.

  • Once the record you want to log the email to is selected, at the bottom you can chose to include the attachment or not and then click 'Save'

  • On your email in Outlook, you may notice a new category designation, showing that the email is logged to a record in Salesforce.

Standard logging emails (recommended):

  • Select the email you want to log to Salesforce,
  • If the Salesforce pane isn't pinned, then select the 'View Salesforce' from your home ribbon in the top right hand corner
  • In the Search box, start typing whatever data object you want to link the email to. For example, enter 'Site' and then you can select the QI Site record. Unfortunately it does not give a lot of details as to which record. Once you select the record it will then show the site name and details though.

  • You'll notice on this next screen that you can view and edit record data. You can see latest Activity and related touch points.
  • When ready to link the email, click 'Log'

  • Once the record you want to log the email to is selected, at the bottom you can chose to include the attachment or not and then click 'Save'

  • On your email in Outlook, you may notice a new category designation, showing that the email is logged to a record in Salesforce.

Viewing linked emails in Salesforce

From the record in Salesforce, you should now be able to see the tracked email in the Activity pane ot the right of the record:

If you are using the standard method to link the emails, you can select the 'Show this record in Salesforce' button:

Click 'Open', if you are already in Salesforce it will open the record directly. If you are not logged in it may require that you login before it displays the record.
