How to create a Bookings Link for multiple participants

Setting up a Booking Service Page 

Create a booking link  

  • Go to catmail.ohio.edu and log in using your OU credentials

  • Click on the "waffle" in the upper left corner and select the Bookings app

  • Under Shared booking pages, select Create bookings page

  • Select Create from Scratch

  • Add a name for your page and follow the listed steps

    • Note: you can add a logo and specify what category of page your bookings is, as well as available hours. You will be given the opportunity to add users to the page's staff, as well as what roles they can be given. Step 3 is irrelevant to creating an event and can be updated once the page event has been created.

    • Click Get Started to customize your even before you share it.


Step 1: Go to the Bookings Services Page 

  • Open Microsoft Bookings to create a new page or open a pre-existing booking.  

  • Navigate to the Services tab 

  • Select Add new service

Step 2: Configure Service Details 

  • Service Name 

    • Enter a clear training title

  • Description 

    • Add brief informational text 

  • Location 

    • If this is a virtual session, select Add online meeting (Teams) 

  • Duration 

    • Set length of the workshop 

      • Example: 1 hour 

  • Maximum number of attendees

    • Set this to a large number (ex: 100, 500, etc.) This allows multiple participants to register for the same session/event,

    • Do not skip this. It cannot be edited later. 

Step 3: Set Availability Options 

  • Scroll back up and select Availability options:

    • Time Increments 

      • Set minimum lead time. 

  • General Availability 

    • Select Not bookable. 

      • Choose Set different availability for a date range.

      • Enter the date range for your training series. 

    • Set Bookable when staff are free to Custom hours (recurring weekly) .

      • Add only the dates/times the workshop occurs:  

      • Remove dates that should not be bookable (use the trash can icon). 

      • Add specific times for each session.

        • Example:

Step 5: Assign Staff (Presenter) 

  • Go to the Assign Staff tab.

  • Uncheck Allow customers to choose a particular staff.

  • Select the presenter and assign the staff member to the service. 

Step 6: Customize Fields & Notifications (Optional) 

  • Go to the Custom Fields tab to choose which fields are necessary/unnecessary

    • Keep Email checked.

    • Use default settings or customize email reminders, follow-ups, and confirmations as desired.

Step 8: Save the Service 

  • Select Save changes 

Create and Share a Bookings Link

Once you have created your bookings page, you can publish the bookings, create a shareable link, and then share it.

Publish Bookings

  • Confirm your bookings is published

    • Open your bookings

    • go to the services tab 

    • click on edit and toggle publishing options on

Get your booking link

  • In Bookings, go to Shared booking pages.

  • Click the ... ellipses to find the share option and click it.

  • Choose the level of access you want/who you want to be able to access the page and copy the link.

Share the direct link 

You can paste the link anywhere, including in an Email or Outlook signature, or even embedded on a website.

  • Share via email directly from Bookings

    • Select Email from the booking page.

    • Outlook opens with the link prefilled.

    • Address and send.

  • Embed the booking page on a website

    • Select Embed from the booking page

      • Uploaded Image (Thumbnail)
    • Copy the iframe HTML

    • Paste it into your website

      • Uploaded Image (Thumbnail)

Troubleshooting – Session Not Appearing 

If the service does not show up on the booking page: 

  • Go to Staff 

  • Select the assigned presenter 

  • Under Availability, uncheck:

    • Events on Office calendar affect availability

      • Uploaded Image (Thumbnail)

      • If the presenter blocked their calendar for the workshop, Bookings may mark them as unavailable.

  • Select Save changes 

  • Refresh the Bookings page and test again 

    • Uploaded Image (Thumbnail)

 

 

Best Practices 

When creating a Bookings service page for events or sessions with multiple participants, there are several key things that can help you maximize your experience.

  • Always set maximum attendees first 
  • Use clear service names for discoverability 
  • Test the booking link before sharing 
  • Avoid syncing blocked calendar events with availability for group sessions
