Administrative staff may request a voluntary, short-term reduction in their Full-Time Equivalent (FTE) by initiating the process via email. The request follows an established approval workflow, with each role reviewing and approving before advancing it to the next level. To begin, follow the steps outlined below to submit your request.
1. Employee Request
Create an email addressed to your supervisor. Include all of the following:
- Employee’s Name
- Employee ID
- Current Position Title
- Current FTE
- Requested FTE
- Duration (start and end dates; must not cross fiscal years)
- Request Description
- Include specific details of time(s) to be worked during the fiscal year and detail how this request meets the operational needs of the department.
Send this email to your supervisor for initial approval.
2. Supervisor Review
- Read the employee’s request and confirm details.
- If you approve, reply all and forward the same email to the Department Head.
- In your reply, clearly note your approval.
3. Department Head Review
- Review the request and supervisor’s approval.
- If you approve, reply all and forward the email to the Planning Unit Head.
- In your reply, clearly note your approval.
4. Planning Unit Head Review
- Review the request and all prior approvals.
- If you approve, reply all and forward the email to University Human Resources: uhr@ohio.edu.
- In your reply, clearly note your approval.
Once University Human Resources receives the fully approved request, they will process your temporary FTE change.
