Description
Each college and its respective departments within Ohio University has a hierarchical grouping of courses called Subaccounts. Each Subaccount can have an administrator that has elevated privileges within the courses and configuration settings for that department or college. This documentation will discuss those privileges and responsibilities, who can authorize someone to have these roles, and what the authorization and training process looks like.

What are Subaccounts?
The Ohio University Canvas environment is configured in a hierarchy of nested folders which Canvas calls subaccounts. Academic courses are added to the folder of the department to which the course belongs. For example, a MATH 1200 course would be found in the Mathematics department folder. The department folders are then nested inside of the college to which the department belongs. Continuing our example, the Mathematics folder would be found inside of the College of Arts & Sciences folder. The college folders are then nested within the university folder. So, the College of Arts & Sciences folder would be within the Ohio University folder. These college and department folders, subaccounts, can have someone with the role of subaccount administrator.

What privileges and responsibilities do a Subaccount Administrator have?
Subaccount Administrators can modify the content for all courses within the subaccount. They can configure the subaccount settings, create announcements and calendars for the subaccount, and view the reporting tools and statistics for the subaccount, including grade reports. If Blueprint courses are in use within the subaccount, the subaccount administrators are responsible for the management of the blueprint courses.
Who is an ideal candidate for the role?
This role is best suited for those that have the need for full access to support their instructors and students. As the role also can modify the configuration settings for the subaccount, the ideal candidate should be able to understand how those settings would impact the courses within.
Who can authorize someone to have this role?
Department Chairs may request that an individual be granted the Subaccount Administrator role for their department. Deans, Assistant Deans or Associate Deans may request that an individual be granted the Subaccount Administrator role for their college.
The authorized requestor (Department Chair, Dean, etc.) would submit a request to servicedesk@ohio.edu asking that the individual be granted Subaccount Administrator access to the department or college.
What is the training requirement?
- The subaccount administrator is required to watch the following recorded training sessions:
- They are also required to complete a FERPA Compliance Statement and email the completed form to servicedesk@ohio.edu.
- Once those items are completed an Ohio University Canvas administrator will contact the individual and schedule a training session, during which the individual will be granted their subaccount administrator role.
What is the audit process?
Once a semester an Ohio University Canvas administrator will reach out to the authorized requestor to confirm that the individual should keep their role as a subaccount administrator.
