Understanding permissions in emedley

Overview

This guide will help users understand the varying permission levels in different eMedley modules. 

Examn permissions

Granting/Modifying Sharing Permissions

For Question Banks

  1. Navigate to Didactic>Examn>Question Banks
  2. Select the Question Bank(s) you wish to modify
  3. Click Actions>Share

For Tests

  1. Navigate to Didactic>Examn>Tests
  2. Select the Test(s) you wish to modify
  3. Click Actions>Share

Granting New Permissions

  1. Click + Grant
  2. Fill out the required fields:
    • Access Permission
      • Can View (Question Bank) or Can View Submission List (Tests)
        • Tests: Allows faculty to view and schedule the test for students
        • Question Banks: Allows faculty to view questions and add them to a Test
      • Can Edit
        • Tests: Allows faculty to create a new version or modify the draft version of a Test
        • Questions Banks: Allows faculty to add new questions and modify existing ones
      • Can Share
        • Allows faculty to set permissions on the test or question bank themselves
      • Can Delete (Tests only)
        • Allows faculty to delete the selected test permanently
        • Test must be in Draft or Archive status for deletion
    • Access Level
      • Select the appropriate access level (role)
      • Once selected, you have the ability to Limit to specific Faculty. If left blank, it will be a blanket coverage to the entire access level (role)

Modifying Existing Permissions

  1. Use the checkbox to select the existing Access Level or Faculty
  2. Click Modify
  3. Select the New Access Permission

Revoking Permissions

  1. Use the checkbox to select the Access Level or Faculty whose permissions you want to revoke
  2. Click Revoke

NOTE: Faculty cannot revoke their own permissions or modify permissions for users with a higher access level.

eCurriculum permissions

Granting/Modifying Sharing Permissions

For Courses

  1. Navigate to Didactic>ecurriculum>Courses
  2. Select the Course you wish to modify
  3. Click Actions>Share

For Sections

  1. Navigate to Didactic>ecurriculum>Courses>Sections
  2. Select the Section(s) you wish to modify
  3. Click Actions>Share

For Sessions

  1. Navigate to Didactic>ecurriculum>Courses>Sessions
  2. Select the Session(s) you wish to modify
  3. Click Actions>Share

 

Granting New Permissions

  1. Click + Grant
  2. Fill out the required fields:
    • Access Permission
      • Can View
        • Allows faculty to view a Course/Section/Session
      • Can Edit or Can Manage
        • Allows faculty to modify the contents of the Course/Section/Session
      • Can Share
        • Allows faculty to set permissions themselves on a Course/Section/Session
    • Access Level
      • Select the appropriate access level (role)
      • Once selected, you have the ability to Limit to specific Faculty. If left blank, it will be a blanket coverage to the entire access level (role)
    • When sharing a Session, it is slightly different
      • Select your Access Permission
      • Type
        • Access Level - allows you to select appropriate access level (role)
        • Faculty - allows you to select one or multiple faculty
        • User Type - When the Session is created, it defaults to All Faculty (Can Edit and Share) and All Students (Can View)
          • You can revoke the All Faculty.  Keep the Can View for All Students as this is necessary for the student to be able to view the published Session on the Curriculum Calendar.  They will be limited on what they can see based on the Cohort and Section assigned to the calendar event. 

Modifying Existing Permissions

  1. Use the checkbox to select the existing Access Level or Faculty
  2. Click Modify
  3. Select the New Access Permission

Revoking Permissions

  1. Use the checkbox to select the Access Level or Faculty whose permissions you want to revoke
  2. Click Revoke

NOTE: Faculty cannot revoke their own permissions or modify permissions for users with a higher access level.

Gradebook permissions

Gradebook permissions can be managed from two places within eMedley:

  1. Didactic>Courses>Sections>Actions>Share Gradebook
  2. Didactic>educateLMS>Select Section>Manage>Share

 

Granting New Permissions

  1. Click + Grant
  2. Fill out the required fields:
    • Access Permission
      • Can View Gradebook
        • Allows Faculty to view the Section gradebook
      • Can Manage Gradebook
        • Allows Faculty to modify the Section gradebook
      • Can Share
        • Allows Faculty to set permissions themselves on the Section gradebook
    • Access Level
      • Select the appropriate access level (role)
      • Once selected, you have the ability to Limit to specific Faculty. If left blank, it will be a blanket coverage to the entire access level (role)

  2. Click Modify
