Supported App Asset Form – Field Definitions

Important Asset/CI Fields (Simplified Overview) 

There are required fields and optional fields with in the Asset Form within TeamDynamix. The purpose of this knowledge base is to provide definitions and context around what is found on the Asset Form.  

Common fields that will be updated through the lifespan of the app: 

  • Last Review Date — The last time the asset was reviewed by the Asset Steward.  

  • Status — Current lifecycle stage of the application within the organization.

Mandatory Fields 

These fields are updated by the Asset Steward. If no Asset Steward was assigned at Asset creation, it will default to the Product Manager associated with the Product Line that the app is associated with. 

Some fields are populated by existing lists/CI's. In such cases, if the underlying list/CI is updated, the change should be reflected in the Asset.

Asset Steward  Resource responsible for the currency and accuracy of application data on the asset record.   REQUIRED  USER SELECT 
Business Owner  A decision maker who owns the application’s strategy, budget, lifecycle, and governance.   REQUIRED  USER SELECT 
Data Classification  Whether the application contains sensitive or secure data and the classification  REQUIRED  RADIO 
Disaster Recovery Tier  Classification of how critical the application is to business operations.  REQUIRED  RADIO 
Hosting Environment  Where the application infrastructure is located and managed.  REQUIRED  RADIO 
Last Review Date  The last time the asset was reviewed by the Asset Steward.  REQUIRED  DATE 
Purchase Model  How the organization pays for and licenses the application.  REQUIRED  MULTI-SELECT 
Status Current lifecycle stage of the application within the organization.  REQUIRED  RADIO 
Usage Scope  How broadly the application is used across the organization.  REQUIRED  RADIO 
User Groups  The primary user groups that actively use the application.  REQUIRED  MULTI-SELECT 
Vendor  Relational field linking to vendor record  REQUIRED  SEARCH

 

 

Optional Fields

These fields are updated by the Asset Steward. If no Asset Steward was assigned at Asset creation, it will default to the Product Manager associated with the Product Line that the app is associated with.

Product 

The solution or service that delivers a set of capabilities to end users and that the application best aligns with.

Purchase Cost  Annual cost for the application (actual or budgeted).  OPTIONAL  NUMERIC ($) 
Relationships  Relationships between the asset and other assets/CIs.  OPTIONAL  SEARCH 
Replaced / Replacing  The application replacing, or being replaced by, this application.   OPTIONAL  TEXT BOX - SINGLE 
Self-Service Support (Support Tier 0)  Available self-help resources and documentation for end users.  OPTIONAL  TEXT BOX - MULTI 
Service Level Agreement  Details of additional service level agreement requirements between organization and end users.  OPTIONAL  TEXT BOX - MULTI 
Support Documentation  Link to additional support documentation.  OPTIONAL  TEXT BOX - SINGLE 

Technical Support and Application

Administration (Support Tier 2/3) 

Advanced technical support contacts for complex or escalated issues.

They are often responsible for maintenance, configuration, and user access management.

Use Case(s)  Specific business processes or scenarios where the application is utilized  OPTIONAL  TEXT BOX - MULTI 
User Access URL  The direct login or access URL where end users interact with the application.  OPTIONAL  TEXT BOX - SINGLE 
User Count  Estimated number of users across all user groups.  OPTIONAL  RADIO 
Users(s) People look-up field for selecting departments or individual users of the app.  OPTIONAL  USER SELECT 
Decommission Date  Planned or actual date when the application will be/was retired.  OPTIONAL  DATE 
Portfolio  The collection of capabilities or enabling technologies that the application best aligns with.   OPTIONAL* DROP DOWN 

*Required if Status is Pending Decom or Decommissioned.
