Making and receiving phone calls in Microsoft Teams Calling

Learn the basics of making and receiving audio phone calls through Microsoft Teams Calling.

Prerequisites and recommendations 

For the best experience with Teams Calling, you'll need the following:

  • Teams Calling enabled
  • Devices
    • Computer, tablet, or smartphone.
    • Microphone plus speaker/headphones.
      • Note: Earbuds or headsets are recommended for the best experience in shared spaces or busy environments.
  • Teams application
    • Use applicable app store to download and install app on smartphone.
    • Recommended:  Use Teams application installed on your computer or smartphone, instead of Teams through a web browser. 

How to place and receive phone calls

Placing outgoing calls

Users can place outgoing calls using their computer, smartphone, or tablet.  Options for calling individuals inside of OHIO University differ slightly from calling users outside of OHIO.

Number dialing formats

Please note the slight changes to extension dialing and prefix requirements for Teams Calling.

  • 5 digit extension calling does not function in Teams Calling
  • Callers do not need to use the 9 prefix to obtain an outside line for domestic calls.
  • Athens Campus, Regional Campus, and Local Calls: 10 digit number using area code
  • Domestic Long Distance: 1 + area code + telephone number
  • International Long Distance: 9+ 011 + country code + city + number
  • Toll Free: 1 + 8xx + number

Teams app on the computer

Method One

  1. Select the Calls icon on the left side of the Teams app.
  2. Enter a number manually using the number keypad.
  3. Select the Call button.

Method Two

  1. Search for the person using the Search Bar at the top of the Team app window.
  2. Select the person from the list presented.
  3. Select the Audio call icon in the upper right corner of the chat window to call them.

Method One

  1. Tap on the More option in the lower right corner of the app.
  2. Tap on Calls.
  3. Tap on the phone+ icon in the lower right corner.
  4. Enter the number you wish to call.  Tap the telephone icon.

Method Two

  1. Tap on the More option in the lower right corner of the app. 
  2. Tap on Calls.
  3. Tap on the phone+ icon in the lower right corner. 
  4. Select the People tab.
  5. Search the OHIO directory for the person you wish to call.
  6. Tap the phone icon to the right of their name to make an audio call.  (Tap the video camera icon to instead make a video call.)

Receiving calls

From OHIO contacts 

Through the desktop or web application 

  • If you receive a call from someone on campus, you will be notified through a pop-up window on  your screen. 
  • Select the camera icon to answer with your video capabilities and the telephone icon to answer with audio capabilities only. 

Through the mobile application 

  • The incoming call will use your device's default method of showing an incoming call with the contact's name and it will indicate that it is coming from Microsoft Teams. 
  • Select the video icon to answer with your video capabilities and the telephone icon to answer with audio capabilities only. 

From External contacts 

Through the desktop or web application 

  • If you receive a call from an external contact, the phone number or ID of the caller will appear in a pop-up window on your screen. 
  • Select the telephone icon to answer the call. 

Through the mobile application 

  • The incoming call will use your device's default method of showing an incoming call with the contact's phone number or ID. 
  • Select your phone's call answer button to pick up the call.
