OMS III and OMS IV Absence Requests - How to Submit

Overview

Clinical medical students, (OMS III's and IV's) can submit absence requests through their HCOM Student Portals. Please note that you will be required to hit 32+ hours on clinical service in that week (Monday through Sunday) to be eligible for academic credit for that week of rotation. Additionally, it is your responsibility to notify your preceptor of your absence and arrange any required make up hours or work. 

Accessing the Student Portal and Logging In

The Student Portal can be accessed using the following link: https://ouhcom.my.site.com/students/. You will use your OHIO email and password to log in. 

Upon logging in, you'll land on a homepage similar to the one pictured below. From here select "Absence Request". 

Submitting an Absence Request

On the page that loads, you'll be able to see all of the absence requests you've submitted for your previous OMS years. To submit a new request, please click the "Create New Absence Request" Button. 

On the following page, fill out all of the required fields as pictured below. Please note that this form is used for a single date absence, if you will be missing multiple days, please create a new request for each date. For the "Clinical Education Event Type" you can select as many boxes as necessary.

To upload supporting documents make sure all items are saved in 1 file. 

  • In the File Upload box, select "Choose File" > Navigate to where the document is saved > Select It > Open
  • You'll see that the file has been added and you can remove it if necessary. 

Once everything is complete, click the "Submit" button. Once the request is submitted you will not be able to make changes. If you need to make changes or corrections to a locked record, please send an email to Ingrid August-Keesey at auguste@ohio.edu.  

                                                                                                                                 

You will receive a confirmation from Salesforce when your request has been processed, updating you of the status. To ensure you receive the email, please be sure to Whitelist Salesforce in Outlook (Please see related Knowledge Base article in the Salesforce>HCOM Students folder. 

View Absence Requests

After you submit your request, you will return to the Absence Requests list page where you can view all of your absence requests and their statuses, as well as, create a new request.
