Sharing Course Materials from Concluded Courses

Description

Instructors might need to grant access to completed courses in Canvas for colleagues who need to review and copy course content. This article provides solutions for this scenario.

Solution

Handling incompletes with students

Please review Handling Incompletes in Canvas for instructions on managing incomplete grades.

In Canvas, all students in each enrollment set (what Canvas calls a section) can edit and make changes to course content if the course is open to them.  Courses become read only at the end of the course or the end of the term (depending on the instructor’s preference).  The instructor cannot just open the course back up to allow only a single student from that initial enrollment set to have the ability to submit assignments, without allowing all the students to have that ability.

Share exported content with colleagues

In Canvas, when a course concludes it becomes read-only which prevents adding or changing content in the course, including adding users.   If we were to put the course in a state that would allow us to add additional users to the course, it would also restore edit access for the students to the content in that course. Adding additional instructors to a concluded course would also provide access to student academic records and give any instructor the ability to edit the gradebook.

Instead, what we need to do is to share the content rather than sharing the course.  There are two primary ways that this can be done.

  1. Log into Canvas at: canvas.ohio.edu.
  2. On the Courses tab on the left global navigation menu, navigate to the course where you would like to export content.
  3. In the course navigation panel select the Settings option.
  4. On the far-right list of options, select Export Course Content.
  5. On the Content Exports page ensure that the Course radio button is selected and then select the Create Export which will trigger the export to begin.
  6. Once the export is completed it will be listed as Course Export under the Content Export portion of the page.
  7. The export will automatically begin to download.
  8. Once downloaded, the export can be found in the Downloads folder on your computer.
  9. The export can be sent via email or can be saved in OneDrive and shared via a link.
    1. You can find information on sharing files with OneDrive on our Getting Started with OneDrive article.

Add content to a self service course and share the course with colleagues

  1. Instructors should log into Canvas, on the Dashboard select Start a New Course.
    • You will be prompted to provide a name for the course
  2. Once the course has been created, you can follow the instructions provided in the How do I copy content from another Canvas course using the Course Import Tool? help article from Canvas to copy the content from the concluded course into the new course.
  3. After content is copied, add your colleague as an instructor to the newly created course following the instructions provided in the "Adding and Removing TAs, Instructors, and Other Users in a Canvas Course" help article.
